Board of Directors Meeting Minutes

December 12, 2012

 

In attendance: Joe Meyer, Maureen Pettis, Mark Heppner, Linda Bufano, Virginia Scattergood, Larry Velte, Armand Fournier

           

Meeting called to order at 7:35.

 

Approval of November Meeting Minutes: The November meeting minutes were reviewed and revised.  Joe motioned to approve, Larry seconded.  Approved 7-0.

 

Treasurer’s Report: The board was informed that the current checking account balance as of November 20, 2012 is $17,507.98; the savings account is at $7,111.04; there are 2 general fund CD’s in the amount of $5,285.59 each, and the reserve CD is $13,461.67 bringing the grand total to: $48,651.87

 

There is a line item of a $200 advance assessment payment that Mark will ask Rod about.

 

Assessment: As of November 30, 25 homeowners have not paid their 2012 assessment.  Linda will double check the addresses with the county website, and board members will call some households to remind them about the dues owed.   According to the policy, final assessment letters go out in February warning about lien placement.

 

Website update: Joe reports that it is possible to start a new website and pull the current information over if the Board wishes to do so.  The Board will ask the Civic Association about their website maintenance and how much it is.  In the meantime, Joe will ask Greg for the information on accessing our site, we will pay the renewal fee and continue to investigate options for the future.  

 

2012 Audit and Taxes:  The taxes have been completed and reviewed by the Board electronically; no taxes are owed. Armand will sign and file.  Mark will check with RCS to ensure they are responding as necessary to Goldklang since the audit has not yet been completed. It was anticipated that the audit would be complete by the end of November.

 

Tree letter:  Maureen sent around a draft for comments and has advised.  Armand communicated with the homeowner on Allenby, who indicated it was fine to remove the tree in question in the spring when the annual tree survey is done.

 

Fence:  Armand wrote to the Heversham homeowner about the board’s decision concerning fence moving, but has not heard back from them. We will wait to obtain a quote until hearing from the homeowner. Maureen has one potential company she will pass along for consideration.

 

Hearing no new business, Linda motioned to adjourn; Armand seconded. Concluded at 8:15 p.m.
