Board of Directors Meeting Minutes

September 11, 2012

In attendance: Joe Meyer, Maureen Pettis, Mark Heppner, Linda Bufano, Virginia Scattergood,

Meeting called to order at 7:30.

A moment of silence was observed in honor of September 11^th.

A moment of reflection was observed for the health of Joan Velte, wife of board member Larry Velte.

Approval of August Meeting Minutes: Linda moved to approve the August minutes, Joe seconded.  Approved 5-0.

Treasurer’s Report: The board was informed that the current checking account balance as of August 31, 2012 is $16,432.94; the savings account is at $6,810.24; there are 2 general fund CD’s in the amount of $5,233.18 each, and the reserve CD is $13,461.67 bringing the grand total to: $47,171.21

Correction from last month, the two operating CD’s were renewed for 15 months, and will be up for renewal again on October 12, 2013.

Assessment: Reminder letters will be sent out by Rod.  

Encroachment Letter: being reviewed.

Tree on Nottinghill:  Armand received a note from a concerned homeowner about the tree being cut down.  The evaluation process for cutting and removal of trees was explained by Armand. Although it’s not a requirement, the Board will try to notify nearby homeowners when tree work is being done. A sample note will be drafted for the Board’s review.

Complaint Procedure:  Pursuant to new Virginia regulations, Larry Velte drafted a complaint procedure for the Board to review.  This sets out a process for members if they have a complaint against the Board.  After review and discussion, Linda motioned to approve; Maureen seconded.  Approved 5-0. Armand will send a copy to the state.  The Board will ask Rod if he had notice of this new requirement; a Board member found out through other means. In addition Rod will be given a copy for future HOA packets.

Hearing no new business, Linda motioned to adjourn; Joe seconded. Concluded at 7:50 p.m.
